TBE is currently looking for a part-time, Temporary Administrative Coordinator:

Reports to Interim Executive Director. Provides administrative support to Interim Executive Director, Rabbi and Controller.

Status: Part Time 27.5 hours/week; Temporary
Schedule: Tuesday-Thursday 9:00 am to 5:00 pm & Friday 9:00 am – 3:00 pm
Employment Period: July 9, 2018 – September 21, 2018 (11 Weeks)
Special Event Dates: Sept. 9-11 & 18-19 – Additional Work Hours Required

Compensation: $15/hr
The AC position requires fine attention to detail, follow-through, and the ability to take initiative in some instances and to take direction in others. A person with excellent customer service skills, an inclination toward following and maintaining administrative systems, and strong communication skills will thrive. Quick thinking and adaptive learning are valued skills in this position. Proficiency in Microsoft Office Suite and Google products is a must, experience with basic graphic design tools is a plus. Existing knowledge of Judaism and its customs is not a requirement for this position, but the candidate must be willing to learn concepts as needed to perform the job. Candidates must have experience working in an administrative capacity in an office setting.
Position Overview
The Administrative Coordinator (AC) is a position with diverse responsibilities. The essential functions are:
  •  Provide administrative support to the temple’s staff, board of directors, and congregants.
  • Serve as the first point of contact for all phone and in-person inquiries to the temple.
  • Manage the administrative operations of the office, including event coordination, member services, multiple calendars, and ordering supplies.
  • Primary responsibility for the production and management of all internal and external temple communications.

Primary Responsibilities


  • Primary person responsible for greeting all visitors to the temple
  • Answer main phone line during office hours. Answer questions and direct calls as required.

Calendar Management

  • Rabbi Braun
  • TBE Internal Admin Calendar / TBE Web Calendar

Member Tracking and Services

  • Maintain member tracking spreadsheet for prospective members, new members, and resignations. Ensure that all related administrative protocols are executed.
  • Receive donations, route payments to Controller.
  • Coordinate and ensure administrative procedures for all life cycle events: births, deaths, marriages, b’nei mitzvah
  • Responsible for keeping member database current and accurate

Supplies Ordering

  • Oversee stock, needs, and ordering of all office and some custodial/maintenance supplies.
  • Additional ordering as needed related to kitchen and event needs

General Office Support

  • Generating and mailing weekly Yahrzeit observance letters
  • Sort and route mail daily
  • Prepare materials for staff and board meetings
  • Administrative project assistance as required by the board, the Director, and the Controller
  • Prepare mailings for special events
  • Responsible for managing sponsored kiddushes: creating sign, notifying Controller, coordinate Kiddush needs with Kiddush Krew
  • Monitor and track key distribution

Rabbi’s Assistant

  • Coordinate Rabbi Braun’s appointments
  • Draft correspondence
  • Clerical Support

Event Coordination

  • Coordinate all logistics of events and use of space at TBE
  • Guide event organizers through the event planning process as needed
  • Track RSVP’s, registrations and payments


  • Responsible for all TBE Facebook activity: posting engaging information, responding to commenters, ensuring accuracy of all information, creating event pages
  • Regular weekly communications: TBE-mail, lobby displays, printed announcements, Yahrzeit lists for services and for plaque lighting board
  • Occasional announcements: birth/death notices, special promotions
  • Regular monitoring of website for outdated content
  • Publicize events in diverse and creative ways
  • Promote events that TBE supports
  • Create flyers
  • Through the use of established templates, generate major publications with the assistance of the Interim Executive Director
